Towards automation without risking the personal touch

The European digital innovation and engineering company Futurice is constantly looking for ways to automate repetitive manual work. Besides efficiency, Futurice believes automation gets them closer to their people promise: to become the company they wish to be for all of their people. How? By enabling people to do more meaningful work.

Together, Futurice and Introist have achieved remarkable milestones in automating onboarding programs, even though the automation of different kinds of people workflows has only just started.

02 - CHALLENGE

A problem of hundreds of wasted hours

The problem Futurice wanted to solve with automation was internal and external employee onboarding programs that consisted of dozens of different steps. The number of messages and calendar invitations in the process is multiplied by hundreds of people transitioning internally as well as joining the company.

It was pretty clear to everyone that it was a lingering problem in various ways.

The employee experience was not always consistent, it took a lot of time, and it took that time away from something more meaningful.

03 - solution

Finding a sustainable solution for people programs

As usual, Futurice was already ahead of the game building a tool of it's own to solve the problem.

They'd built a tool called Schedule to automate setting up the meetings for inductions. But they quickly came to the realisation that there were no resources to maintain and develop this tool.

That is when Introist came in. Futurice’s people in the Human Care and IT teams saw an opportunity to outsource everything to Introist.

Today, Futurice’s Human Care team has automated their complex induction programs across different countries with Introist’s no-code tool. Futurice knows that they're not finished yet and they continue to create, develop and unify their people programs.

In total, Introist has executed 16 listed tasks per work day. The scope is growing constantly due to extended people programs and new Introist use cases.

04 - results

Delivering equal but personalised employee experiences

Even with these meaningful figures and Futurice being a people-first company, their number one achievement is a quiet one: the most important result of working with Introist is that their onboarding programs are now far more equal, while retaining personalisation for every employee. Futurice started locally and is expanding the onboarding unification globally, to treat everyone based on their core company value: putting people to the front.

So far, Futurice has saved 275 work days with people workflow automation, which completes around 32 tasks per day on average. Had Futurice hired a specialist to do everything Introist has automated in the past 12 months, that person could not have completed them without using their evenings or weekends.

By levelling up automation Futurice had the chance to bundle tools or their features (like Donut and Personio) from multiple solutions into Introist. Futurice’s Human Care enjoys that they have a tool like Introist which they do not need to use every day to make sure everything works. They are able use their HRIS and other platforms as they previously did, and workflows start automatically in Introist based on what they do with their everyday tools.

The buddies, managers, office managers, and especially Human Care continue to enjoy how Introist combines their automated work in one place, keeps them updated, and delivers their people a personal experience.
